Rossum launches a certified integration for SAP S/4HANA providing touchless document flow and SAP master data management

Why a streamlined SAP IDP workflow matters?

Let’s start with a true story. Cristina, Rossum’s own Head of Accounting, told me that in her last job she had three ERPs and an accounting system. Every month she would spend two to three frustrating days manually inputting data from one system to another. 

“I would work to 2am in the morning, so of course I would make mistakes as I was really tired. So I would spend yet another day checking. No human should have to do this, we have too many tools that don’t talk to each other.”

Finance department staff waste further time manually checking that invoices match with PO data on their systems. When you have 1000s of invoices that need processing this adds up to a huge number of hours occupied in mind numbing low value work rather than more rewarding work that attracts talent. Manual processes can also lead to mistakes due to human error, as Cristina mentioned, which impacts the accuracy of reporting and the credibility of the finance department. 

The advantages of SAP Certified software

Integrating Rossum IDP with SAP S/4HANA will solve this problem, but integrations come with risks. Some IT professionals may have been burned by failed integrations in the past and research shows that integration challenges are one of the main causes for failed IT projects. The main challenges to system integration are testing and compatibility issues between software components. A major risk to integration comes from errors and defects, rigorous testing is required to mitigate the risk. That’s why we built Automation Suite 1.0 for SAP S/4HANA Cloud, a tried and tested SAP Certified integration to ensure that the connection will work and quickly connect Rossum with SAP.

What does certification involve?

Rossum’s Solution Architects worked with the SAP Integration and Certification Center (SAP ICC) to build an out-of-the-box integration with SAP S/4HANA Cloud. This ensures the integration is risk-free and technically aligned with the latest SAP technology. 

The integration was subject to scrutiny by the SAP ICC team during the development phase, testing for security, performance and scalability. We had to ensure our integration was compatible with SAP APIs and that we met strict quality assurance requirements including putting in place customer support and monitoring procedures. We submitted documentation confirming that the correct tools, criteria and methodology were followed, culminating in a rigorous demo with the SAP ICC team to test drive our integration. 

The road to an official SAP Certified software requires a long-term commitment in team resources and proves the quality of our integration capabilities with SAP, which is why we’re so proud of the achievement.

How the integration works with SAP master data?

Our out-of-the-box SAP Certified integration with SAP S/4HANA Cloud automates the flow of invoice data extracted by Rossum into SAP. 

The integration extracts and sends validated invoice data with associated documents from Rossum to SAP S/4HANA, as well as the retrieval of master data from SAP S/4HANA to Rossum.

• Rossum performs invoice data extraction using trained AI which learns without the need for templates. 
• Rossum automatically validates the extracted data by matching it with SAP master data, so you can rely on the accuracy of the information pushed downstream.
• Rossum transforms the output data format to the desired format for SAP integration.
• Rossum pushes the extracted invoice data and PDF of the invoice to SAP,
• Rossum retrieves the SAP master data on a scheduled basis using SAP.

Rossum’s SAP Certified integration performs automated data matching to check for vendor, PO data and duplicate invoices. So, along with the possibility to export the extracted data into SAP, this integration features various automated checks, which help ensure that the data is correct and up-to-date. These data checks are based on imported SAP master data, the single source of the truth.

Accelerate implementation

We have mitigated the majority of the risk from integration with a tried and tested solution that has been certified by SAP, which means integration teams on the customer side can be less rigorous with their own testing. This will help over-stretched IT teams by accelerating the implementation time and reducing the cost. As it’s an out-of-the-box solution, you could go from onboarding “kick off” to fully integrated “go live” in as little as 4-6 weeks.

Mitigate risk

As well as testing for underlying stability issues, the SAP ICC team also scans for potential code vulnerabilities and security threats. All this testing means that our integration has passed strict security checks and won’t introduce bugs into your SAP ecosystem.

Up-to-date

Our work is not done. Certification requires us to maintain support for our SAP integration to make sure it remains compatible with the latest SAP technology. Which means every year SAP will put us through our paces in an annual audit, that way you can be sure that we keep our out-of-the-box SAP IDP integration continually updated.
