The challenge
FloraLink, a US-based cut-flower importer with over 25 years of experience sourcing flowers from growers around the world, faced significant operational challenges as their business grew. With a 30% year-over-year growth rate, they struggled to keep up with an increasing volume of incoming invoices, especially during peak seasons like Valentine’s Day and Mother’s Day when workload tripled or quadrupled.
Manually processing each vendor invoice took over 90 seconds, largely due to inconsistent vendor data that didn’t always match FloraLink’s system, along with the need to handle complex third-party charges and duty tax calculations. This made it difficult to scale operations without adding more staff, even outside peak season.
The solution
To tackle these challenges, FloraLink implemented Rossum’s AI-first document automation platform, and integrated it with its NetSuite instance, transforming their entire invoice workflow. By accelerating vendor data matching and automating third-party charge management and duty tax calculations, Rossum reduced document processing time from 90 seconds to just 5 to 6 seconds.
The integration with NetSuite also ensured that vendor bills and invoices were accurately created and automatically posted in the system of record after processing, allowing FloraLink’s end customers to easily access them.
This setup enables FloraLink to seamlessly handle peak season demand without needing to hire additional staff. During off-peak periods, data clerks are now able to focus on higher-value tasks like consolidated billing and inventory management.
